A national labour hire, traffic control and line marking business with offices across NSW and Victoria. Around 700 employees and a contractor pool that scales with project demand. Operations span infrastructure, civil construction, logistics and rail. ISO 9001, 14001, 45001 and 27001 certified.
The business had grown faster than its operational systems. Reporting was fragmented across FastTrack (workforce management), UKG Ready (HR), Donesafe (HSEQ) and finance systems, with no single source of truth. IT services were outsourced to a managed services provider whose pricing model had drifted from the value being delivered.
First, executives were making decisions on lagging spreadsheet reports compiled manually each month. Site-level visibility into safety incidents, labour utilisation and financial performance existed in pockets but not in one place. Branch managers and account managers built their own workarounds.
Second, the managed IT spend had grown to roughly $534,000 per year without a corresponding review of what was being delivered. A ticketing service was costing $208,000 annually for around 1,000 tickets at approximately 47% utilisation. File storage was being charged at $16,600 per year on an arrangement that was no longer needed. Phone integration costs were partially duplicated.
Third, the ISO management systems were certified but the documentation had not kept pace with operational change. Internal audit cycles were running, but the risk register had not been comprehensively rebuilt in several years and a financial audit was approaching.
Dashboard and data layer. A Power BI environment was built on top of the existing systems. FastTrack was integrated with UKG Ready via Dell Boomi middleware so workforce and HR data flowed without manual handling. Active job order candidates synced automatically. Shift data wrote back to UKG as unavailability blocks. The dashboard layer surfaced safety, HR and financial KPIs across all 30+ sites with daily refresh. DAX optimisation work using Tabular Editor brought report performance from minutes to seconds.
IT cost rationalisation. Four strategic options were modelled side by side: keep the existing managed services arrangement, hybrid quick wins, embedded backup plus one IT support specialist, and full in-house. Competing proposals from two alternative providers were analysed in detail. Immediate savings were identified: $16,600 in unnecessary file storage, around $88,000 in potential ticketing service reduction, and rationalisation of the phone system. The recommended option delivered approximately 53% savings against the existing arrangement.
Compliance and risk. A full risk register rebuild was completed in time for the financial audit. Twenty-two new corporate risks were added across SEQ Risks, Environmental Aspects, Corporate Risk and Risk Matrix structures. Donesafe sub-form analysis was completed for both Certified and Non-Certified site assessment forms. ISO surveillance audit ran clean.
The relationship transitioned from project-based work into a managed services arrangement.
