Crews deploy daily to civil construction, infrastructure, utilities and event traffic management work across NSW and Victoria. The division operates around-the-clock shift patterns, with significant overnight and weekend exposure.
Traffic control operations carry a specific compliance load: high-risk work, fatigue exposure, equipment tracking, client site requirements, and obligations under multiple regulators (state WHS, transport authorities, local councils). The administrative work to support this had built up across paper forms, multiple spreadsheets, and a workforce management system that was not designed to handle the discipline-specific workflows.
Specific issues: departure forms were paper-based, with delays in capturing onsite information back to the office. Fatigue risk was assessed informally, with no consistent calculation method across schedulers. Job allocation, plant and equipment tracking, and compliance documentation were spread across separate tools. Operations leadership had no live view of crew status, only end-of-day reporting. Client compliance audits required scrambling to produce evidence from multiple sources.
Departure form digitisation. The paper departure form was redesigned and rebuilt inside Traffio. The new form captured site arrival, equipment used, conditions encountered, hazards identified and any incidents, with photos attached. Once submitted, the data flowed directly into the operational record without re-keying. A guide was produced for crews and supervisors covering the new process and exception scenarios.
Fatigue risk assessment calculator. A purpose-built fatigue calculator was developed to assess risk based on shift patterns, prior work hours, time of day, travel distance and recovery time. The tool gives schedulers a clear rating before allocating crew to a shift. Where the rating exceeds threshold, the system requires either reallocation or an explicit risk acceptance with mitigation. The calculator is now embedded in the daily scheduling workflow.
Live operational dashboard. A Power BI dashboard was built on top of Traffio data, surfacing crew status, job progress, equipment utilisation and compliance flags. Operations leadership now has a single screen for the current day rather than waiting for end-of-day reports.
Compliance evidence library. Client compliance audits were addressed by structuring the evidence trail in advance: SWMS, training records, equipment compliance, fatigue assessments and incident records all linked to job records in Traffio. When a client audit lands, the response is a query, not a scramble.
This engagement combined an initial project (build the calculator, redesign the forms, deploy the dashboard) with ongoing managed services (dashboard operations, refinement of fatigue thresholds based on operational learning, periodic process review). The pattern repeats across operationally complex industries: build something purposeful, then maintain and improve it as the operation changes.
Off-the-shelf tools rarely cover the specific edge cases that drive compliance and operational risk in these environments. Custom logic on top of operational platforms tends to win.
